Registration, Cancellation & Refund Terms
These terms govern all registrations for the Health From Space international congress. Please read them carefully before registering.
1. Scope
These Registration, Cancellation and Refund Terms ("Terms") govern all registrations for the International Conference "Health from Space", organized by the Organizer. By registering for the Conference, each participant acknowledges having read, understood, and accepted these Terms.
2. Registration
Registration is confirmed only upon receipt of full payment.
The Organizer reserves the right to refuse or cancel any registration in exceptional circumstances, including but not limited to administrative errors, security concerns, force majeure, or non-compliance with these Terms.
3. Cancellation by Participants
All cancellation requests must be submitted in writing by email to the Organizer.
The date on which the Organizer receives the written cancellation shall determine the applicable refund. The following refund schedule applies:
- Full refund up to 60 days before — free cancellation until 5 February 2027.
- 50% refund until 7 March 2027.
- No refund after that date — but tickets are transferable to a colleague.
Any applicable banking charges, payment processing fees, currency conversion costs, and administrative expenses shall be deducted from the refund.
4. Registration Transfer
Participants unable to attend may transfer their registration to another individual without charge until 14 calendar days before the Conference.
Transfers requested after this deadline may be accepted solely at the Organizer's discretion.
The substitute participant must satisfy all applicable registration requirements.
5. Conference Modification
The Organizer reserves the right to modify:
- the Conference program;
- speakers;
- moderators;
- schedule;
- venue within the same metropolitan area;
- session formats;
- exhibition layout; or
- networking activities,
without liability where such modifications do not materially alter the overall nature of the Conference. Such changes shall not entitle participants to a refund.
6. Organizer Cancellation
Should the Organizer cancel the Conference entirely for reasons other than force majeure, participants shall receive either:
- a full refund of registration fees paid; or
- the option to transfer their registration to a future edition of the Conference.
The Organizer's liability shall be limited exclusively to the amount of registration fees actually paid. The Organizer shall not be liable for:
- airfare;
- accommodation;
- visa expenses;
- insurance;
- transportation;
- loss of business;
- loss of profits; or
- any indirect or consequential damages.
7. Force Majeure
The Organizer shall not be liable for cancellation, postponement, interruption, or modification of the Conference resulting from circumstances beyond its reasonable control, including but not limited to:
- natural disasters;
- pandemics;
- epidemics;
- war;
- terrorism;
- civil unrest;
- governmental restrictions;
- labor disputes;
- transportation disruptions;
- power failures;
- internet outages; or
- other force majeure events.
In such circumstances, the Organizer may, at its sole discretion:
- postpone the Conference;
- convert the Conference into a virtual or hybrid event;
- issue attendance credits for future events; or
- provide partial refunds where financially feasible.
8. Virtual Attendance
If the Conference is converted into a virtual or hybrid format due to circumstances beyond the Organizer's control, registrations shall remain valid.
Participants shall not automatically be entitled to refunds solely because the Conference format changes.
9. Payment Processing
Refunds shall be processed using the original method of payment whenever reasonably possible.
Processing may require up to 30 business days after approval.
The Organizer shall not be responsible for:
- exchange rate fluctuations;
- credit card issuer fees;
- intermediary banking fees; or
- taxes imposed by financial institutions.
10. Intellectual Property
Registration does not grant participants any ownership rights in Conference materials, recordings, presentations, trademarks, logos, or intellectual property.
Unauthorized recording, reproduction, distribution, or commercial use is prohibited without prior written consent.
11. Photography and Recording
The Conference may be photographed or recorded.
By attending, participants grant the Organizer the right to use photographs, video recordings, and audio recordings containing their image or voice for promotional, educational, archival, and marketing purposes without additional compensation, unless prohibited by applicable law.
12. Limitation of Liability
To the fullest extent permitted by applicable law, the Organizer's aggregate liability arising from participation in the Conference shall not exceed the registration fee paid by the participant.
The Organizer shall not be liable for any indirect, incidental, special, punitive, or consequential damages.
